45-13-82. Declaration of printed material as surplus; preparation of inventory of material; transmission of inventory to Secretary of State; filing of duplicate copy


The head of each state agency is authorized to declare printed material in the possession of such state agency as surplus printed material. At the time printed material is declared to be surplus printed material, the agency head shall make or cause to be made a complete inventory of the surplus printed material. The inventory shall describe the surplus printed material in sufficient detail, if practicable, to allow the Secretary of State to make the determination provided for in Code Section 45-13-83. The inventory shall contain a statement of the declaration of the printed material as surplus printed material; such declaration shall be signed by the agency head; and the date signed shall be indicated thereon. As a part thereof or as an attachment thereto, the inventory shall show the physical location of the surplus printed material. Upon its completion, the agency head shall transmit the original of the inventory to the Secretary of State. A duplicate of the original copy shall be retained in the files of the state agency as a part of the records of such agency.
